2. Hosting and provision of the website

This website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Deutschland. When you visit the website, technically necessary connection data is processed. This may include your IP address, the time of access, the requested resource, the HTTP status and the volume of data transferred.

This processing serves to provide the website securely, reliably and without errors. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the secure and reliable operation of this website. Routine access logs are kept without IP addresses. The standard retention period for error and security logs is 7 days. Data is retained for longer only where necessary to investigate or document a specific security incident.

Hosting may involve processing outside the European Union or the European Economic Area. Depending on the recipient, the provider relies on an adequacy decision or standard contractual clauses for the transfer (Article 45 or Article 46 GDPR). Information on the transfer basis and commissioned processing.

Further information: hosting provider's privacy notice.

3. Contact form and email

When you contact us, we process your name, email address, the content of your message and, if provided, your company. The sole purpose is to process and respond to your enquiry.

If your enquiry relates to a contract or pre-contractual measures, the legal basis is Article 6(1)(b) GDPR. Other enquiries are processed under Article 6(1)(f) GDPR based on our legitimate interest in communicating with prospective customers and business partners. Confirming the notice in the form merely records that you have read this information and does not constitute consent under data protection law.

Required information is necessary to identify and respond to the enquiry. The form cannot be submitted without it. The information is deleted once the enquiry has been fully dealt with. Data is retained for longer only where statutory retention obligations apply or where it is required for the establishment, exercise or defence of legal claims; during that period, processing is restricted to those purposes.

To protect against automated or abusive form submissions, the IP address is processed briefly on each submission attempt and immediately converted into an identifier using a random key that exists only in the running server process. Only this pseudonymised identifier and the times of the submission attempts are stored. Entries are deleted automatically after 15 minutes, technically no later than one additional minute. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is protecting the form and mail infrastructure against abuse.

Email provider

For email communication we use IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Deutschland. The provider acts as a processor. When the form is submitted, the form data is transferred to this provider.

Processing may also take place outside the European Union or the European Economic Area. Depending on the recipient, the transfer is based on an adequacy decision or standard contractual clauses (Article 45 or Article 46 GDPR). The provider's information on international data transfers.

Further information: email provider's privacy notice.

If you do not want your message to be transferred to the email provider, you may instead write by post to the controller's address shown above.

4. Technically necessary session

When you open the contact form, the rudolph_session session cookie is set. It contains only a cryptographic value protecting the form and short-lived status messages. Form entries are not stored in the cookie. The cookie is protected with Secure, HttpOnly and SameSite=Lax and is deleted at the end of the browser session.

Storage is strictly necessary for the secure form submission requested by the user. It is performed pursuant to Section 25(2)(2) TDDDG; subsequent processing serves secure provision under Article 6(1)(f) GDPR. A consent banner is not required for this purpose.

5. Recipients and disclosure

Recipients of personal data are limited to the people internally responsible for the enquiry and the named hosting and email providers, where necessary for operation and communication. Data is not disclosed for advertising, analytics or profiling purposes.

6. No analytics or marketing services

This website does not use analytics, marketing, social media or external font services. No tracking takes place. Consequently, no cookie consent banner is used.

7. Your rights

Subject to the statutory requirements, you have the right of access, rectification, erasure, restriction of processing and data portability. Where processing is based on Article 6(1)(f) GDPR, you may object on grounds relating to your particular situation. To exercise your rights, simply email info@rudolph-digital.com.

You also have the right to lodge a complaint with a data protection supervisory authority. Competent supervisory authority: Der Landesbeauftragte für den Datenschutz und die Informationsfreiheit Baden-Württemberg (LfDI BW).

8. Encryption and security

The website is provided exclusively via encrypted HTTPS connections. We use technical and organisational measures to protect personal data against loss, manipulation and unauthorised access. These measures are reviewed and developed in line with the risk and the state of the art.

9. Updates to this notice

No automated decision-making, including profiling, takes place. We update this privacy notice when data processing activities, service providers or legal requirements change.
